The Complete Moving Checklist for Sarasota, FL (2026)

If you are planning a move in Sarasota, you have probably found dozens of generic moving checklists online. They all say the same things: pack early, label boxes, change your address. Useful, but they miss everything that makes moving in Sarasota different from moving in Chicago or Denver.

Sarasota has HOA rules that require move-in deposits and elevator reservations. It has drawbridges on the keys that can add 30 minutes to your moving truck's route. It has a peak season from January to April when every mover in town is booked solid. And it has hurricane season from June to November that can force you to reschedule at the last minute.

In 15 years of moving families across Sarasota and Manatee County, I have seen every possible complication. This checklist is built from that experience -- not from a template.

8 Weeks Before Your Move

• Book your movers. In Sarasota, weekends and end-of-month dates fill up fast -- especially January through April. Call at least 6-8 weeks ahead for your preferred date. Contact Flat Fee Movers to lock in your price.
• Start a moving binder or folder. Keep all estimates, contracts, receipts, and important documents in one place.
• Check your HOA or condo association rules. If you are moving into a Siesta Key condo, a Lakewood Ranch community, or a gated neighborhood in Palmer Ranch, get the move-in packet now. Many require 48-72 hours notice, a refundable deposit ($200-$500), and specific elevator reservation times.
• Declutter room by room. Donate to Goodwill on Fruitville Road, sell on Facebook Marketplace, or schedule a junk removal pickup. Every item you do not move saves money.

6 Weeks Before Your Move

• Submit your USPS change of address. Do it online at usps.com. It takes 7-10 days to process.
• Notify FPL (Florida Power & Light) or TECO. Schedule disconnect at your current home and connect at the new one. Sarasota County uses FPL. Manatee County uses FPL or TECO depending on location.
• Transfer or set up water and sewer. Sarasota County Utilities handles water for unincorporated areas. City of Sarasota has its own utility department. Call at least 2 weeks ahead.
• Notify internet and cable providers. Spectrum and Xfinity serve most of Sarasota. Schedule transfer or new installation.
• Begin packing non-essential rooms. Guest bedrooms, storage closets, garages, and seasonal items can be boxed early.

4 Weeks Before Your Move

• Update your address with key accounts. Banks, insurance (homeowners and auto), employer, doctors, dentists, prescriptions, school registrations, and voter registration.
• Confirm your moving date and time. Reach out to your mover to re-confirm everything.
• Pack room by room. Label every box with the room name and a brief description of contents. Number each box and keep a master list.
• Handle specialty items. If you have a piano, gun safe, large artwork, or antiques, make sure your mover knows about them. These may require specialty equipment.

2 Weeks Before Your Move

• Confirm HOA move-in reservation. Double-check elevator time, loading dock access, and any required insurance certificates your mover needs to provide.
• Plan your route. If your move crosses a drawbridge (Ringling Bridge, Siesta Key Bridge, Cortez Bridge), check the bridge opening schedule. Moves to or from the keys should avoid bridge lifts during rush hour.
• Deep clean and photograph your current home. Document the condition for your security deposit or sale.
• Separate valuables. Jewelry, important documents, medications, and irreplaceable photos should go with you in your car, not on the truck.

1 Week Before Your Move

• Pack an essentials box. Toiletries, medications, phone chargers, snacks, water bottles, a change of clothes, paper towels, and basic cleaning supplies. This box goes in your car.
• Defrost your freezer. Turn it off 24 hours before the move to avoid water damage during transport.
• Drain fuel from lawn equipment. Gas-powered mowers, trimmers, and chainsaws should be emptied for safe transport.
• Check the weather forecast. Florida summer storms can hit fast. If you are moving during June through November, have a backup plan for rain delays.

Moving Day

• Do a final walkthrough. Check every closet, cabinet, drawer, and shelf. Look in the attic, garage, and under sinks.
• Clear pathways. Open doors, move cars from the driveway, and clear a straight path from front door to truck.
• Point the crew to fragile items. Show them anything that needs extra care: glass tops, artwork, family heirlooms.
• Stay available. Your movers may have questions about furniture placement at the new home. Be reachable by phone.

After 15 years in Sarasota, here are four things I always tell clients that no generic checklist covers:

Bridge timing matters. If your move starts or ends on Siesta Key, Longboat Key, Bird Key, or St. Armands, the Ringling Causeway and Siesta Drive bridges open on schedule for boat traffic. A single bridge opening can delay your truck 15-20 minutes. Plan your move start time around this, or let your mover know so they can adjust their route.

Snowbird season changes everything. From January through April, Sarasota's population swells. Traffic on US-41, Fruitville Road, and University Parkway gets heavier. Movers are busier. Rates may be higher. If you have flexibility, moving in May through September saves money and gets you better scheduling options.

Florida heat is real. If you are moving during summer, keep cold water and sports drinks accessible for yourself and your moving crew. Heat exhaustion is a genuine concern, especially for moves that involve second or third floor apartments without elevator access.

Hurricane preparedness does not pause for a move. If you are moving during June through November, your essentials box should include a flashlight, batteries, a portable phone charger, and copies of your homeowner's or renter's insurance policy. If a storm is approaching, your mover should have a clear rescheduling policy. Ask about this when you book.
